Tool Selection Scoping – Travel Expenses

CONTEXT

As part of a redesign of its information system and general expense management, this Insurance group decided to initiate a scoping study on the expense report component (T&E: Travel & Expenses).

The objectives? 

Formalize business processes | Acquire a “cloud” application capable of covering these processes | Establish a deployment roadmap.

ACHIEVEMENT

A functional scoping study (Processes: Travel booking, expense report entry, validation workflow, accounting impacts and analytical allocations, etc.), management of the organizational aspect (decentralization of entries, centralized accounting, etc.). A technical study of the various software packages on the market (Concur, KDS, Notilus, etc.) and the organization of workshops with publishers. An estimation of the functional coverage of these tools, taking into account a “Digital” vision for certain parts of the process (entry, validation on Smartphone and tablet). Development of a deployment roadmap.

RESULT

A scoping document and a presentation to the various project stakeholders including the target process mapping, the identification of a target “cloud” software package for this insurance group, the roadmap, the budget, and the calculation of the associated ROI.
